Job Description

Arlington Central School District is currently recruiting for an Administrative Assistant to the Superintendent / District Clerk.  The selected individual would be a key administrative professional who supports the Superintendent of Schools and the Board of Education. This 12-month, dual-role position requires a high level of discretion, professionalism, and organizational and communication skills. The individual serves as the Superintendent’s confidential assistant, providing complex and independent administrative support, while also fulfilling the statutory duties of the District Clerk in accordance with New York State Education Law (Section 2121) and the Commissioner’s Regulations. The District Clerk is appointed by the Board at its Annual Re-organizational Meeting.

Responsibilities:

Administrative Assistant to the Superintendent

  • Serve as the primary administrative liaison to the Superintendent, managing sensitive and confidential matters with professionalism and discretion
  • Coordinate and maintain the Superintendent’s calendar, appointments, and meetings
  • Work closely with the Superintendent’s Cabinet; prepare agendas, take follow-up actions, and track Cabinet business
  • Act as a resource on district policies and procedures; make procedural decisions as appropriate
  • Represent the Superintendent and the District in interactions with staff, parents, students, and the community
  • Draft, edit, and format correspondence, reports, presentations, and other written materials
  • Manage incoming and outgoing communications, including email and physical mail
  • Lead and support district-wide administrative support staff as needed
  • Assist in organizing district events and meetings, including logistics and materials preparation
  • Maintain confidentiality and handle sensitive information with integrity
  • Other duties as assigned
     

District Clerk to the Board of Education

  • Record and maintain official minutes of all Board of Education and district voter meetings
  • Issue notices for regular and special Board meetings in compliance with legal requirements
  • Facilitate communication between Board members, administration, and the public
  • Manage Board member logistics, including travel arrangements and conference registrations
  • Prepare and distribute meeting agendas and supporting documentation in a timely manner
  • Oversee the annual district meeting and election process, including legal notices and voter registration
  • Maintain official Board records and ensure timely filing of legal documents
  • Support Board of Education budget processes, manage the annual budget vote and provide assistance with contractual documentation
  • Handle correspondence on behalf of the Board and follow up on Board directives and inquiries
  • Attend all Board meetings and provide procedural support
  • Coordinate the Reorganizational Meeting and manage procedural matters until the President is sworn in
  • Support the Policy Committee and updating of policies
  • Participate in ongoing professional development, including Board Clerk training
  • Other duties as assigned

Job Qualifications

Required Knowledge, Skills, and Abilities:

  • Associate’s or Bachelor’s degree in business administration, education, or a related field with a minimum of three years of responsible administrative or secretarial experience, preferably in an educational setting;
  • Strong knowledge of school district operations and applicable New York State Education Law;
  • Excellent verbal and written communication skills, including ability to draft professional correspondence and reports;
  • Proficient in Microsoft Office Suite, Google Workspace and other standard office software;
  • Ability to work independently, manage multiple priorities, and maintain strict confidentiality;
  • Strong organizational skills, attention to detail, and professional demeanor.
